Who we are
Steins Garage is a family-run vehicle servicing and MOT business operating from 18 Gordon Street, Edinburgh EH6 8NA. The business is owned and operated by Craig Stein as a sole trader.
In this policy, “we”, “us” and “our” refer to Steins Garage. “You” refers to anyone who books a service, contacts us, or visits our website at https://motservicingedinburgh.co.uk.

What information we collect
We only collect the information we need to book your service, contact you about your appointment, and meet our legal record-keeping obligations.
When you book a service or contact us, we collect:
- Your name
- Your email address (if you provide one)
- Your phone number (if you provide one)
- Your vehicle registration number, make, model, and year
- The service you’ve booked and the date and time of your appointment
- Any notes or messages you send us via our contact form, WhatsApp, email, or in person
When you use our website we also collect, automatically:
- Standard technical information your browser sends to any website (IP address, browser type, pages visited, time of visit)
- Cookies as described in our Cookie Policy
We do not collect or store payment card details. Payment for services is taken in person at the garage when you collect your vehicle.
Why we use your information (lawful basis)
We use your information for the following purposes, under the following lawful bases under UK GDPR:

Who we share your information with
We never sell your information. We share it only with the following third parties, and only as needed to deliver the service you’ve booked:
- DVSA (UK Driver and Vehicle Standards Agency) — when you enter your vehicle registration on our website, we send it to the DVSA’s MOT History API to retrieve the public MOT and tax record for that vehicle. We do not send your personal details to the DVSA.
- Brevo (Sendinblue SAS, France) — sends your booking confirmation, reschedule, cancellation and reminder emails on our behalf. Brevo processes your name and email address. Brevo is based in the European Union.
- Telnyx (Telnyx LLC, USA) — sends booking confirmation, reschedule, cancellation and reminder SMS messages on our behalf. Telnyx processes your name, phone number and booking details. Telnyx is based in the United States and is certified under the UK-US Data Bridge / EU-US Data Privacy Framework, which provides the safeguards required by UK GDPR for international transfers.
- Google (Google LLC, USA) — we sync your appointment time, vehicle registration and name into our internal Google Calendar so Craig and the garage team can see the day’s bookings. Your appointment is stored on Google’s servers. Google is certified under the UK-US Data Bridge.
- Our website host and other technical service providers — our website is hosted in the UK/EU. We use standard web infrastructure (server hosting, WordPress security, anti-spam) which may incidentally process your IP address.
We may also disclose your information where we are required to by law, by a court order, or by HMRC, the police or another regulatory authority.
How long we keep your information
- Booking and customer records (name, contact details, vehicle, work carried out): 6 years after your last appointment. This matches HMRC’s requirement for business record retention.
- MOT history lookups: cached for 24 hours, then discarded.
- Marketing or reminder consent: until you withdraw it.
- Website analytics and server logs: typically 30–90 days.
After these periods we delete or anonymise the information.
Your rights
Under UK GDPR you have the right to:
- Ask what we hold about you (right of access)
- Correct anything that’s wrong (right to rectification)
- Ask us to delete your data (right to erasure) — subject to our legal obligation to keep accounting records for 6 years
- Object to us processing your data for legitimate interests (including marketing or reminders)
- Ask for your data in a portable format (right to data portability)
- Withdraw consent to anything you previously agreed to
- Complain to the Information Commissioner’s Office (ICO) at https://ico.org.uk or 0303 123 1113

Marketing and reminders
If you’ve booked a service with us, we may send you reminders before your appointment and before your MOT expires. You can opt out of these at any time by:
- Replying STOP to any SMS we send you
- Replying to any email with “unsubscribe” in the subject
- Calling us on 0131 554 3423 and asking to be removed
We do not send marketing emails or messages to anyone who hasn’t booked a service with us, and we don’t share your details with any third party for marketing purposes.

Changes to this policy
We may update this policy from time to time. When we do, we’ll update the “Last updated” date at the top. Significant changes will be highlighted on our homepage for a reasonable period.
